- Data: IP address, date and time, the address of the page visited and technical information about the browser (server logs); when you sign in or take other actions, also your email address and the number of attempts to sign in, register, book, send messages and change your password.
- Purpose: running the website, protecting accounts from takeover, limiting abuse and spam, finding and fixing errors.

Contact form
- Data: first name and surname, email address, optionally phone number and company name, the message, and which language version of the website it was sent from.
- Purpose: replying to your enquiry and preparing an offer.
- Legal basis: Article 6(1)(f) GDPR (our legitimate interest in answering enquiries) and, where the enquiry concerns entering into a contract, Article 6(1)(b) GDPR.
- The message is not stored in the system’s database – it reaches our mailbox by email.
Booking system account
The booking system is used by employees of companies that have ordered massages from us as an employee benefit. You create an account with the invitation code you receive from your employer.
- Data: first name and surname, work email address, the company you work for, your chosen language, a hash of your password (we never store the password itself), the date the account was created and the email address confirmed.
- Purpose: creating and running your account, confirming that the email address belongs to you and your company, signing in, changing your password and recovering access to your account.
- Legal basis: Article 6(1)(f) GDPR – our legitimate interest in performing the contract with your employer, who provides you with massages as an employee benefit.
Bookings, attendance and ratings
- Data: the time and station, the massage therapist, the date of booking and of any cancellation and its reason (including a recorded missed appointment) and, if you choose to give them, a rating and comment after the appointment.
- Purpose: handling bookings, sharing a limited number of appointments fairly, settling the service with your employer, maintaining the quality of the massages.
- Legal basis: Article 6(1)(f) GDPR – performing the contract with your employer and maintaining the quality of the service. Giving a rating is voluntary.
- The massage therapist does not see your data: their schedule only shows which appointments are taken.
- For settling the service, and at your employer’s request, we may give them a summary of the appointments of their company’s employees: first name and surname, email address, the time and the status of each appointment (e.g. completed, cancelled, missed). We share ratings and comments only in aggregate, without showing who gave them.
Emails
- Data: first name, email address, account language, booking details.
- Purpose: the emails you need to use the service: booking confirmations (with a calendar file), notices of a cancelled appointment, a reminder on the morning of your massage, a request to rate the appointment (at most once every 7 days), links to confirm your email address and to set a password, and notices of a password change, of an attempt to register with your address and of your account being deactivated or your data deleted.

- We do not send advertising or newsletters, and our emails contain nothing that tracks whether you open them or click links.

3. Who we share data with
We use service providers who process data on our behalf and only on our instructions:
- Google – Google Cloud: the application and its database (Cloud Run and Cloud SQL in the europe-central2 region, Warsaw; database backups in Google data centres in the EU), server logs (Cloud Logging), storage of the system’s keys and passwords (Secret Manager); Gmail, which receives contact-form messages, our correspondence and booking notifications.
- Twilio SendGrid (USA) – sending the system’s emails.
- Cloudflare (USA, global network) – the domain’s DNS, network and website protection: every request to the website passes through Cloudflare, which processes the IP address, the address of the page visited, browser headers (including cookies) and submitted form data; forwarding email sent to our address.
- Upstash – short-lived counters that protect against abuse (IP address, email address); data stored in the europe-west1 region (Belgium).
- Your employer – only as described in section 2 (a summary of appointments for settling the service).
- Public authorities – only where the law requires it.
We do not sell personal data or share it for marketing purposes.
4. Transfers outside the European Economic Area
The booking system and its database run in Warsaw, and the security counters in Belgium. However, Google, Twilio SendGrid, Cloudflare and Upstash are US companies or belong to US groups, so data may also be processed outside the EEA – mainly when emails are sent, in Cloudflare’s network and in Gmail. This takes place on the basis of a European Commission adequacy decision (EU-US Data Privacy Framework) or standard contractual clauses approved by the European Commission.
On request, we will tell you which safeguards apply.
5. How long we keep data
We keep data only for as long as it is needed:
| Data | Retention period |
|---|---|
| Account: first name and surname, email address, company, language, password hash | Until the account is deleted – at the latest 30 days after the cooperation with your employer ends, or earlier at your request. |
| Booking history and ratings | Linked to you until the account is deleted; then we anonymise them, and they remain only in statistics, without personal data. |
| Contact-form enquiries | Until the correspondence ends; if no cooperation follows, we delete them within 3 months. |
| Invoices and contracts with companies | 5 years from the end of the calendar year in which the tax payment deadline passed (Polish Tax Ordinance). |
| Server logs (IP address, technical data) | 30 days. |
| Abuse-protection counters (IP address, email address) | Several minutes, at most 30 minutes – then they expire automatically. |
| Link to confirm your email address | Valid for 24 hours and works once; we store only its hash. |
| Link to set a new password | Valid for 60 minutes and works once; we store only its hash. |
| Link to rate an appointment | Valid for 7 days after the email is sent. |
| Database backups | The database runs in the europe-central2 region (Warsaw), and its backups are stored in Google data centres in the EU (the “eu” multi-region). Automated backups are taken daily and the last 7 are kept; in addition, the database can be restored to any moment in the last 7 days (point-in-time recovery). Before each system update we take an extra backup and keep the last 5, deleting older ones. Data deleted from the database disappears from the backups once they are replaced by newer ones. |
| Administrator activity log | 12 months. |
6. Your rights
You have the right to:
- access your data and receive a copy of it,
- have your data corrected,
- have your data deleted,
- restrict processing,
- data portability,
- object to processing based on our legitimate interest, on grounds relating to your particular situation.
To exercise these rights, write to biuro@healthymoment.com.pl – preferably from the address linked to your account. We will reply without undue delay and at the latest within one month.
You can also change your name, language and password yourself under “My account”.
You also have the right to lodge a complaint with the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warszawa, uodo.gov.pl).
7. Do you have to provide your data?
Providing data is voluntary, but without your name, email address and a password you cannot create an account or book a massage, and without an email address we cannot reply to an enquiry. The phone number and company name in the contact form and rating an appointment are optional.
8. Automated decision-making and profiling
We do not make decisions about you based solely on automated processing, and we do not profile you.
9. Cookies
We use only strictly necessary cookies – signing in and choosing a language do not work without them, so they do not require your consent. We do not use analytics or advertising cookies or any tracking tools.
The server sets authjs.csrf-token and authjs.callback-url as soon as you open the website, even if you do not sign in; authjs.session-token only once you sign in, and hm_locale when you choose a language.
| Name | What it does | How long |
|---|---|---|
authjs.session-token | Keeps you signed in. | Up to 8 hours; removed when you sign out. |
authjs.csrf-token | Protects signing in against someone impersonating you (a CSRF attack). | Until you close the browser. |
authjs.callback-url | Remembers the address of the page to return to after signing in. | Until you close the browser. |
hm_locale | Remembers the language you chose for the website; set when you choose a language. | 12 months. |
When the website is opened over an encrypted connection (HTTPS), the names of the sign-in cookies start with __Secure- or __Host-.
10. Changes to this policy
If we change how we process data, we will update this page and the date at the top.
